PRIVACY
This is the studio booking system for Free FM's recording studio. It is run by Free FM. This page explains, in plain English, what information it holds about you and what we do with it.
WHAT WE COLLECT
- From Google, when you sign in: the email address and name on your Google account. We never see your Google password.
- From a Free FM Admin, when you are added as a user: your display name, your role, and optionally your phone number and the name of your show or programme.
- When you make or change a booking: the date, time, programme name, and who made it.
- An activity log: a record of who created, changed or cancelled bookings and user records, and when.
WHY WE COLLECT IT
Only to run the booking system: to confirm who you are when you sign in, to stop two people booking the studio at the same time, to let Admins manage bookings, and to email you confirmations.
WHERE IT IS KEPT
Your information is kept in a Google Sheet and Google Calendar owned by Free FM, and the system's code runs on Google's Apps Script service. The web pages themselves are hosted by Netlify, which may keep standard technical logs (such as IP addresses) as any web host does. The system itself does not use advertising or analytics trackers; it loads fonts and the sign-in button from Google.
WHO CAN SEE IT
- Admins can see all bookings and the user list.
- Other presenters can only see that a time slot is "Booked". They cannot see who booked it or what for. You can see the details of your own bookings.
- The studio display screen shows only the times that are booked, with no names or details.
EMAILS
When you make, change or cancel a booking, the system emails a confirmation to the address you signed in with. An Admin can also ask the system to email them a calendar invite for a booking they have made. These are the only emails it sends.
WHAT WE DO NOT DO
We do not sell your information, share it for advertising, or use it for anything other than running the studio bookings.
YOUR RIGHTS
Under New Zealand's Privacy Act 2020 you can ask to see the personal information held about you, ask for it to be corrected, or ask to be removed from the system. To do any of these, contact a Free FM Admin. If you are removed, you will no longer be able to sign in. Past bookings may be kept as a record of studio use, held within Free FM's own Google account.
CHANGES TO THIS PAGE
If the way the system handles personal information changes, this page will be updated and the date at the top will change.
